Privacy Policy
What BroadcastPlan Pro collects, why, where it is kept and what you can do about it.
The short version. We collect what the planner needs: your account, your company details and your projects. No ads, analytics or tracking, no sale of personal information, no marketing email. The optional AI assistant runs only if your organization’s owner turns it on, and is never sent the client, venue, site address, notes or prices saved in your projects.
Who we are
BroadcastPlan Pro, at broadcastplanpro.com, is made and operated by Equal Access Audio LLC, an Illinois limited liability company (“we”, “us”). This policy covers this website, the planner at /app and the Field app.
Information your organization stores about its own clients and venues is under its control; we store and process it on its behalf. If you are one of those clients, contact the company that prepared your plan.
What we collect and why
Your account. Your name, email address, role and organization, your password (stored only as a salted hash) and when the account was created. Accounts are set up by us or by your organization’s owner. We use this to sign you in and control what you can see and change. Everyone in your organization can see the name, email address and role of each member. Our administrator sees each organization’s accounts and how many projects it has; the app does not show the administrator what is in them (see Security).
Your preferences. The name printed on your documents, your country, units, language, usual receiver and similar settings from My preferences, and a count of your completed designs. They fill in new projects for you.
Your company details. What your owner enters under Company & pricing: company name, logo, address, phone, email, website, tax ID, proposal terms, price book and labor rates, which appear on your proposals. If you trade as an individual, these details can be personal information, so enter only what you want printed.
Your projects. Rooms, floor-plan images and their file names, equipment, coverage results, proposals and commissioning records. A project can hold personal information you or your team type in: client and venue names, the site address, “prepared by”, the customer’s name and role on the acceptance record, the installer’s name and walk-test notes. PDF and DXF drawings are turned into an image in your browser; the original file is not uploaded.
Field Kit readings. When the Field app syncs, each reading is added to the project: the measurement summaries and listening checks, any notes typed for the stop, and the receiver’s label, device ID and firmware. The installer name set in the Field app stays on the device.
Guest workspaces. “Try it free” creates a private workspace without a name, email address or any other account details. A cookie in your browser lets you back in for seven days.
Administrative records. When our administrator creates an organization or an account, or resets a password, we record who did it, for which account and when.
Technical information. Our servers see your IP address and browser details with each request. Our application uses IP addresses only in memory, for limits that stop abuse such as repeated failed sign-ins, and does not store them. It keeps no request log of its own; it records unexpected errors and, for each AI request, its type, duration and size. Our hosting provider keeps its own platform logs.
When you contact us. If you email or call, we keep your message and contact details so we can answer you.
We do not collect payment details (the service is free during early access), and we do not buy personal information from anyone.
Legal bases (Europe and the UK). We use your information to provide the service you or your organization asked for (contract), to keep it secure and working and to answer messages (our legitimate interests), and to meet legal obligations.
The optional AI assistant
BroadcastPlan Pro can use Claude, an AI model made by Anthropic, to explain checks and findings, draft wording and settings, and trace walls from a floor plan. It is off by default and runs only after your organization’s owner turns it on in Company & pricing. Guest workspaces cannot use it.
When someone uses it, our server sends Anthropic a summary of the design and the interface language: room size, kind of space, country and units; listening-area names and sizes; wall counts by material; transmitter names, models, heights and mounting; coverage figures and open checks; audio program names and tap points; receiver counts, seats and attendance; equipment lines without prices and the listed exclusions; and any text typed under “Describe the sound system”. For troubleshooting it sends the Field Kit’s findings, symptoms, measurement summaries and broadcast names. Our server removes anything else before the request leaves it.
To trace a floor plan, the assistant receives that drawing as an image, only after you confirm, together with its size, the kind of space, the units and the plan’s scale.
It never receives the project name, client, venue name, site address, “prepared by”, notes, prices or the saved project. Names and descriptions you type, and drawings that show a title block or an address, can still contain personal information, so keep it out of them while the assistant is on.
We do not store the requests or answers, only the metadata above; suggestions you accept become part of your project. Anthropic processes each request under its commercial terms for API customers.
Where it is stored and who processes it
We operate from the United States and use a small number of providers:
- Railway hosts the application, the database and the private storage for floor-plan images.
- Anthropic processes AI assistant requests, only for organizations that have turned the assistant on.
- Google Fonts serves the typeface on these marketing pages. Your browser downloads it from Google, which receives your IP address and browser details under its own privacy policy. The planner and the Field app load nothing from other sites.
- GitHub stores our source code. It receives no customer data.
Railway and Anthropic are US companies, and your information may be stored and processed in the United States or in other countries where they operate. If you are in the European Economic Area, the UK or Switzerland, this can mean a transfer outside your country; you can ask us about the safeguards that apply.
We disclose personal information only as this policy describes, when the law requires it, to protect people or the service, or in a reorganization or sale of our business, where this policy continues to apply.
Cookies and storage on your device
We use one cookie, bp_session, which keeps you signed in. It cannot be read by scripts, is sent only to our site and expires after seven days. We use no advertising, analytics or tracking cookies, pixels or services.
The planner keeps your display settings, units, language and region in your browser’s local storage, plus a backup of walk-test readings, including notes, for up to five projects until they reach the saved project. The Field app keeps plans, captures with their raw measurements, troubleshooting cases, preferences (including the installer name) and readings waiting to sync in your browser, and stores its own files so it works offline. Syncing sends readings to the project but does not remove these copies; they stay on your device until you clear your browser’s data for our site.
How long we keep it
- Accounts until they are removed. When an owner removes a team member, the account is deleted; their projects stay with the organization, and their name can remain in projects they worked on, for example as “prepared by” or as the installer.
- Projects until an owner or designer in your organization deletes them. Deleting a project is permanent: the project and its saved floor plan are removed, and there is no way to restore them in the app.
- Sessions until you sign out, or for seven days.
- Floor-plan images that were replaced or never saved to a project can remain in storage until we remove them.
- Guest workspaces are not deleted automatically yet. Once the cookie expires nobody can open the workspace again, but its contents stay stored, so delete your guest projects, and clear any company details you entered, before you leave if you do not want them kept.
- Administrative records for as long as we run the service.
- Backups can hold deleted information until they expire.
There is no self-service deletion of an account or an organization yet. To delete your account, or an organization and all of its projects, contact us and we will delete it, except for anything the law requires us to keep.
Your choices and rights
You can change your preferences, export any project and delete the projects you are allowed to edit. To change your name or email address, reset a password, get a copy of your information or delete your account, contact us. We may pass a request to your organization’s owner. We confirm requests through the email address on the account and answer within the time the law requires.
Europe and the UK. Where the GDPR or the UK GDPR applies, you have the right to access, correct or delete your personal information, to restrict or object to how we use it, and to receive it in a portable format. You can also complain to your local data protection authority, or in the UK to the Information Commissioner’s Office.
United States. Depending on your state, privacy laws may give you the right to know, access, correct, delete and get a copy of your personal information, and to opt out of its sale, targeted advertising or certain profiling. We do none of those three things, so there is nothing to opt out of. Wherever you live, you can make the requests above, and we will not treat you differently for making them. If we decline a request, you can ask us to reconsider.
Security
Our measures fit a small, early-access service. Passwords and sign-in sessions are stored only as hashes, and the site is served over HTTPS. Floor plans sit in private storage and are shown only to signed-in members of the same organization. Every project belongs to one organization, roles limit who can change what, sign-in attempts and AI requests are rate-limited, and the planner runs under a strict content security policy. The people who maintain the service can technically reach the database; we do so only to run, secure or support the service, or when the law requires it.
Some protections are not built yet: there is no two-step sign-in, no self-service password reset or change, and no log of sign-ins or project changes. No service is completely secure. If we learn of a breach that affects your personal information, we will tell you as the law requires. Please report security concerns to dave@equalaccessaudio.com.
Children
BroadcastPlan Pro is a business tool for integrators, distributors and manufacturers, not directed to children; our Terms of Use require users to be at least 18. We do not knowingly collect personal information from anyone under 18. If you think a child has given us personal information, contact us and we will delete it.
Changes to this policy
We will post any change on this page and update the date at the top. If a change materially affects information we already hold, we will tell account holders before it takes effect, in the app or by email.
